Based on Accruent’s own product pages, EMS includes:

  • Self-service conference room booking, so employees can reserve space without going through an administrator.
  • Hoteling and workspace reservations for desk booking in hybrid and flexible-seating environments.
  • Conference and event space management, including classroom and exam scheduling for higher-education customers.
  • Integrated video conferencing, connecting bookings to Microsoft Teams, Zoom, and WebEx.
  • Services, resources, and catering requests, attached directly to a room or event reservation.
  • Visitor management and secure check-in, for tracking guests coming into a building.
  • Analytics and space-utilization optimization, including 120-plus built-in workplace trend reports and a custom “Query Wizard” for building reports from the EMS database.
  • Pricing and invoicing for reservations and services, useful for organizations that bill departments or clients for space and service usage.

Accruent also flags mobile access (including the AI-powered Direct Spaces booking app), hardware and software integrations (HVAC, AV, catering systems, Student Information Systems, Outlook), data security and access controls, and custom, scheduled reporting as important parts of the platform.

What EMS users say: Across G2, Capterra, and Gartner Peer Insights, reviewers consistently praise EMS’s configurability and scheduling depth. The recurring complaints are just as consistent: a steep learning curve, a dated interface (“the system looks like it belongs in Windows 98,” one G2 reviewer in banking put it), and integration friction, with a Gartner reviewer specifically calling Outlook setup “incredibly difficult.” Accruent has answered some of this with a modern, AI-powered mobile booking layer, Direct Spaces, but that sits on top of a backend administrators still describe as complex to configure.

Accruent does not currently publish standard EMS pricing on its public pricing page, so organizations should expect to contact sales for a customized quote.   • User and location count. Accruent’s published pricing elsewhere in its portfolio scales by seat (Maintenance Connection starts at $110 per user per month for 3 or more users, with a custom quote at enterprise scale), and EMS’s own marketing leans heavily on multi-location, multi-building deployments. Headcount and building count are likely core inputs to any quote.
  • Deployment type. EMS ships as two distinct products, the legacy on-premise Desktop Client and EMS Cloud Services. Cloud and on-premise licensing typically carry different cost structures, and Accruent is actively encouraging legacy customers to move to the cloud version.
  • Which modules you deploy. Room, desk, and event scheduling is the core of EMS, but analytics and space-utilization reporting, visitor management, catering and service requests, and the AI-powered Direct Spaces mobile app are each distinct capabilities that may sit inside or outside a base package.
  • Integration scope. Outlook, Teams, and Zoom integration, Student Information System connections for higher-education customers, HVAC and AV controls, and third-party digital signage each add configuration and support scope beyond core scheduling.
  • Implementation and services. A platform this configurable typically involves a discovery and configuration phase that can be quoted separately from the software subscription itself.
