Accruent EMS Cloud vs. Maptician: Which Is Right for You?

  • Accruent EMS Cloud vs. Maptician: Which Is Right for You?

Summary

If you’re running Accruent EMS on-premise, you’ve likely already heard about EMS Cloud Services. Accruent has been actively moving on-premise customers toward its cloud product, using free upgrades as part of the incentive to make the switch, which means for many facilities and IT teams, this isn’t a fully optional upgrade so much as a change that’s already arriving. That raises a more useful question than “cloud or on-premise”: if a move is happening either way, should it land in EMS Cloud, or somewhere built for the whole workplace? This post looks at how Accruent frames its own migration, then compares EMS Cloud and Maptician head-to-head on the things that actually matter during a switch.

How Accruent Frames the Move to EMS Cloud

Accruent EMS has long shipped in two forms: the legacy EMS Desktop Client, installed and maintained on a customer’s own servers, and EMS Cloud Services, Accruent’s hosted alternative. In its own materials, Accruent lays out five concerns it says customers weigh when considering the move to the cloud version: security, hosting, upgrades, access to the latest enhancements, and disruption during the transition.

On security, Accruent points to single sign-on and access trails. On hosting, the pitch is straightforward: no local infrastructure or hardware to maintain. On upgrades, cloud hosting is positioned as simplifying the rollout of new modules. On enhancements, cloud customers get new features and fixes ahead of on-premise customers, and free upgrades are part of how Accruent frames that benefit. On disruption, Accruent positions the migration itself as low-disruption and handled by its own team.

Accruent also cites a claimed return of $40,000 to $60,000 in the first year from moving to EMS Cloud, plus gains in performance and scalability. Worth noting directly: that free-upgrades incentive isn’t just a feature perk. It’s the same lever behind the broader push to move customers off on-premise EMS altogether, which is why many on-premise customers are finding this move arriving whether they’d have chosen the timing themselves or not.

If the Move Is Already Happening, It’s Worth Comparing More Than One Destination

For a lot of on-premise customers, the real decision in front of them isn’t “EMS Cloud, yes or no.” It’s “EMS Cloud, or something built for the whole workplace?” Accruent’s own five concerns really just add up to one question: is this move safe, and is it worth it? That’s a fair question to ask of any cloud platform being considered for the switch, not only the one your current vendor is offering.

Accruent EMS Cloud vs. Maptician: Head-to-Head

Using Accruent’s own five concerns as the framework, here’s how EMS Cloud and Maptician compare.

Security

Both platforms are secure options. Accruent maintains SOC 2 compliance across its cloud-based solutions and offers single sign-on and access controls in EMS Cloud. Maptician is SOC 2 and ISO certified. Neither requires you to manage on-premise infrastructure.

Hosting and Upgrades

Both EMS Cloud and Maptician eliminate the burden of locally hosted infrastructure and manual version upgrades. That’s the baseline value of any SaaS platform. The difference is what you’re upgrading into. EMS Cloud simplifies rollout of the same EMS modules. Maptician is a modern SaaS platform built without legacy on-premise architecture or older modules to maintain alongside newer ones.

Implementation

Accruent positions its own cloud migration as low-disruption, handled by its team. Maptician’s track record backs up a similar promise, and it’s worth looking at real numbers rather than a general claim. When an AmLaw 200 firm needed to replace its workplace software at its Denver office on a strict post-Labor Day deadline, three weeks out,

Maptician committed to that timeline and delivered on it, on budget, with no additional fees. The rollout then grew from 40 users to 554 across the firm’s other offices within 60 days.

“Maptician has proved to be an integral partner in our hybrid workplace efforts with an excellent team and product. The solution demonstrates a seamless deployment with ease for both users and administrators bringing confidence for the expansion of use in numerous offices.”

— CIO, AmLaw 200 firm, Denver office

Not every rollout looks like that one, and it shouldn’t be read as a blanket promise. A larger, multi-office migration off a legacy system took Husch Blackwell about six months, a timeline the firm’s own Regional Director of Office Administration described as one of the most successful projects the firm had run:

“What really impressed me was the rapid implementation. We transitioned from legacy systems to Maptician in just six months, and it was one of the most successful projects we’ve ever done. The transition was seamless, with the Maptician team offering top-notch support.”

— Joni Andrews, Regional Director of Office Administration, Husch Blackwell

The honest takeaway: Maptician can move fast when a deadline demands it, and it’s built around a guided rollout either way, with Maptician’s own team handling floor plan drawing, environment setup, and data migration directly rather than leaving discovery and configuration entirely to your IT team. That relationship doesn’t end at go-live. It continues as an ongoing support partnership rather than a handoff once the system is live.

Workplace Capabilities

This is where the two paths diverge most. EMS Cloud carries the same feature set as EMS generally: scheduling, utilization reporting, visitor check-in, and meeting-service requests, just hosted differently. What it doesn’t do is confirm attendance in real time. It can tell you what was reserved and, after the fact, what a report says about usage, not who’s actually at a given desk or in a given room today. Maptician connects passive, multi-signal presence confirmation to space planning, visitor management, and workplace analytics in one continuously live system. One 250-attorney firm managing 22 offices across a growth period described what that shift looked like in practice:

“We selected Maptician to gain control over our space planning and visibility over our hybrid workforce. It is incredibly quick, efficient, and easy to use. Our office managers are able to see at a glance who is in the office today or even the future. With scenario planning, we update our space plans frequently and even shift individual furniture items around the office to optimize our space and seating strategies.”

— Facilities Coordinator, 250-Attorney Firm

Mobile Access

Both platforms offer mobile access. Accruent has invested seriously here: Direct Spaces, EMS’s mobile app, now runs on conversational AI, letting users book a room by describing what they need in plain language. It’s a genuinely modern booking layer. Maptician’s mobile app is built to connect to the rest of the platform the same way: employees book desks and rooms, find coworkers, and see presence and space data from the same app, so mobile access is one entry point into the whole workplace picture instead of a booking layer sitting on top of a separate back office.

If You’re Making This Move, Make It Count

Whether you move to EMS Cloud or switch platforms entirely, the IT lift to get off on-premise infrastructure is broadly similar either way. The difference is what’s waiting on the other side: the same reservation-and-report scope you have today, or a platform that confirms attendance in real time and connects that to space, visitors, and planning in one live system. For law firms and financial-services organizations specifically, switching also means gaining vertical-specific workflows that EMS isn’t built around. Accruent’s primary markets are higher education and general commercial office space, not legal or financial services specifically.

The cost of getting this wrong isn’t abstract. According to SPS’s 2025 State of the Workplace Survey, 59% of US workers would consider leaving a job over workplace inefficiencies, a figure that jumps to 69% in the legal sector specifically. Gallup estimates replacement costs at 200% of salary for leadership roles and 80% for technical roles. If you’re already absorbing the disruption of a platform change, it’s worth making sure what you land on actually closes that gap, not just relocates the same scheduling tool to a different server.

Cited in Maptician’s How Technology Turns the Workplace Into a Competitive Advantage white paper, sourcing SPS’s 2025 State of the Workplace Survey and Gallup’s replacement-cost estimates.

Which Should You Choose?

A few questions worth asking before you decide where this migration lands:

  • Is scheduling and resource management genuinely all you need, or do you also want presence, visitors, and space planning in the same platform?
  • Does Maptician’s track record on fast, guided implementations change your calculus on how much IT involvement this move actually requires?
  • Are you a law firm or financial-services organization that would benefit from workflows built specifically for that environment?
  • Would you rather stay within Accruent’s ecosystem, or use this required move as an opportunity to land somewhere broader?

Both are legitimate answers. EMS Cloud makes sense if scheduling and resource management genuinely covers what you need and staying within Accruent’s ecosystem matters to your team. Maptician makes sense if this move is happening anyway and you’d rather use it to land somewhere built for more than booking.

Find the Right Cloud Workplace Platform

If a move off on-premise EMS is already on your roadmap, whether by choice or because Accruent is prompting it, it’s worth deciding what you actually want on the other side of it. EMS was built for booking rooms. Maptician was built for running a workplace.

FAQs

Is Accruent moving customers from on-premise EMS to the cloud?
Accruent actively promotes EMS Cloud Services to its on-premise customers and uses free upgrades as part of the incentive to make the switch, so many customers are encountering this as a change that’s already arriving rather than a fully optional upgrade.

Does Accruent EMS offer a cloud-based version?
Yes. Accruent EMS is available as EMS Cloud Services, a hosted alternative to the legacy on-premise EMS Desktop Client.

If I leave on-premise, should I choose EMS Cloud or a different platform?
It depends on what you actually need. If your requirements are scheduling-focused, room and desk booking, event management, and reporting, EMS Cloud keeps you in a familiar ecosystem with a lower-friction move. If you want real-time attendance confirmation connected to space planning, visitor management, and analytics in one system, it’s worth comparing a whole-workplace platform like Maptician before you commit to EMS Cloud specifically.

Is Maptician cloud-based and secure?
Yes. Maptician is a cloud-based SaaS platform, and it’s SOC 2 and ISO certified.

Is switching platforms more expensive than migrating to EMS Cloud?
Not necessarily, and it’s hard to say definitively either way: Accruent doesn’t publish EMS Cloud pricing any more than it publishes standard EMS pricing, so both paths require a custom quote. What’s worth comparing isn’t just the subscription cost, but the implementation timeline and IT lift required to get there. A platform switch built around minimal IT involvement, like the three-week Denver implementation above, can be less disruptive than the assumption that switching vendors always costs more than staying within one.
